Data Protection Wording
Reusable privacy and consent clauses for TruLink forms, verification, marketing and partner agreements
This document provides standardised wording that TruLink can place in registration forms, waitlists, verification flows, complaint forms, business agreements and marketing consent fields. It should be used together with the full Privacy Policy.
1. Standard Short-Form Privacy Notice
TruLink will use the information you provide to administer your account/request, facilitate marketplace connections, communicate with you, protect platform safety and improve our services. We may share information with relevant users and trusted service providers where necessary for these purposes. 2. Waitlist / Early Access Wording
By joining the TruLink waitlist, you ask us to store your contact details, location/service interests and waitlist responses so we can manage early access, communicate launch information and understand demand. You can leave the waitlist or opt out of promotional messages at any time. Joining the waitlist does not guarantee access, work, leads or a particular launch date.
3. Account Registration Wording
By creating an account, you acknowledge that TruLink will process your account, profile, usage, communication and trust-and-safety information to operate the platform, connect you with relevant users, maintain security, enforce our rules and comply with legal obligations. Public provider/business profile information may be visible to other users and, where indicated, to the public.
4. Provider Verification Consent Wording
I authorise TruLink and its verification service providers to review the information and documents I submit for the purpose of confirming selected identity, business, qualification, credential or profile information; preventing fraud; maintaining platform trust and safety; and keeping an audit record of the verification. I understand that verification is limited in scope, may involve third-party or public sources where lawful, and does not guarantee my competence or future conduct.
5. Sensitive Document Upload Notice
Upload only the document requested and avoid including unrelated sensitive information where possible. TruLink will restrict access to verification information and use it for verification, security, legal compliance and dispute purposes. Where practical, TruLink may retain verification status and essential evidence rather than keeping the full document indefinitely.
6. Complaint Form Privacy Wording
Information submitted in a complaint may be shared with the person or business complained about where reasonably necessary to investigate and respond, and may also be shared with advisers, service providers, insurers or competent authorities where appropriate. Do not submit unrelated confidential, medical, financial or identification information unless it is necessary to the complaint.
7. Marketing Consent - Optional Checkbox
I would like to receive TruLink news, launch updates, promotions and marketplace tips by email and/or electronic messaging. I understand that I can unsubscribe at any time and that marketing consent is not required to use core TruLink services.
8. Marketing Consent - SMS/WhatsApp Variant
I agree that TruLink may send me promotional messages through the mobile number I provide, including by SMS or WhatsApp where offered. Message/data charges from my carrier may apply. I can opt out through the method provided in the message or by contacting TruLink.
9. Business Partner Candidate-Data Clause
The Business Partner will use personal information obtained through TruLink only for legitimate recruitment, engagement, vendor selection, workforce administration and related legal/compliance purposes; will limit access to persons who need it; will use reasonable security measures; will not sell or repurpose the information for unrelated marketing; and will retain or delete it in accordance with applicable law and its legitimate business needs.
10. Service Provider Customer-Data Clause
The Provider may use customer information received through TruLink only to respond to the relevant request, perform the agreed service, handle legitimate follow-up, keep required business records and exercise legal rights. The Provider must protect customer information and must not publish, sell or use it for unrelated marketing without an appropriate lawful basis or consent.
11. International Processing Wording
TruLink may use cloud, communications, analytics, verification or support providers located outside Trinidad and Tobago. Where information is processed internationally, TruLink will seek reasonable safeguards appropriate to the information, service and legal requirements.
12. Data Retention Wording
TruLink retains personal information only for as long as reasonably necessary for the purpose for which it was collected, account administration, safety/fraud prevention, dispute handling, legal compliance and the establishment, exercise or defence of legal claims. Information that is no longer required will be deleted, anonymised or securely isolated where reasonably practicable.
13. Privacy Rights / Request Wording
You may ask TruLink to provide access to, correct or otherwise review the personal information we hold about you, subject to applicable law and legitimate retention requirements. Send requests to privacy@trulinkcaribbean.com. We may verify your identity before fulfilling a request.
14. Data Incident Wording
TruLink will investigate suspected personal-data incidents, take reasonable containment and remediation measures, preserve appropriate records and make notifications where required by applicable law or reasonably necessary to reduce material risk to affected persons.
15. Internal Data Handling Standard
- Collect only information reasonably needed for a defined TruLink purpose.
- Tell users what the information is for at or before collection where practicable.
- Restrict staff/contractor access according to role and need.
- Avoid downloading identity documents to personal devices or unmanaged storage.
- Do not reuse verification or complaint information for unrelated marketing.
- Correct material inaccuracies when identified.
- Use defined retention periods and securely dispose of information no longer needed.
- Escalate suspected data loss, unauthorised access or disclosure immediately.
- Review vendors that process personal information and document appropriate contractual/privacy protections.
16. Legal Context Note
Trinidad and Tobago enacted the Data Protection Act, 2011 (Act No. 13 of 2011). The Act has been partially proclaimed and may be further brought into force over time. TruLink should therefore periodically review these clauses and its privacy operations against the provisions actually in force, while continuing to apply the broader privacy standards set out in its Privacy Policy as internal best practice.
